Position Summary –

The Office Manager will work in close partnership with Human Resources team on Recruiting and On-Off-Boarding topics and will provide administrative support to our office in India.

Admin/Office/Executive Support

Office Management:

  • Keeping everything running smoothly, from supplies to office policies, managing relationships with stakeholders, executive team, vendors, leading renovations/moving projects, coordinating event and developing emergency procedures ( i.e. fire drill, evacuation plans ).
  • Greet guests to the office and comply with security policies
  • Order and manage all office and kitchen supplies accordingly based on budget.
  • Maintain office furniture and equipment including conference rooms.
  • Provide support to finance team with tracking, receipts, invoicing, payment, credit card and reconciling.
  • Follow up and resolve any discrepancies with vendors.
  • Own mailing process for office including inbound and outbound
  • Liaise with building management to make requests and solve any issues

HR Support:

  • Actively supporting & coordinating for Rewards and Recognition (engagement/culture management)
  • Plan/organize internal and off-site events
  • Assist with organizing workshops in the office.
  • Ad hoc duties as assigned

Onboarding Process /Travel Arrangements

  • Helping with accommodation bookings when needed.
  • Liaise with Tech to complete office projects and assist with onboarding/offboarding
  • Assisting with access Passes, Tours of the office, IT setup, scheduling Inductions.

Facility Management:

  • Overseeing building maintenance and repairs.
  • Responsible for health and safety while ensuring we’re up to date on health and safety, including DSE Assessment

What you bring :

Knowledge, skills, experience

  • Graduation preferred
  • 6+ years’ experience as an office manager
  • Well organized with excellent time management skills
  • Excellent communication skills at all levels
  • Researching skills and desire to find the answer
  • Relationship management and influencing skills
  • Strong ability with MS Office, especially Excel
  • Ability to handle confidential data
  • Superior attention to detail and multitasking
  • Self-starter and ability to work independently
  • Flexibility to tackle new projects.
  • Ability to multi-task & always happy to help
