Job Description

Role Overview: Drive data-driven decision-making through advanced analytics, Power BI dashboards, and comprehensive MIS for facility and administrative functions at The Client at Powai in line with Master Service Agreement requirements. Provide robust data analysis, financial reporting, and compliance support to facility and engineering management teams.

Key Responsibilities: • Design, develop, and maintain interactive Power BI dashboards visualizing operational, financial, and compliance metrics for management decision-making

• Perform advanced data analysis to identify trends, cost optimization opportunities, and operational improvements through statistical analysis and predictive modeling

• Maintain and monitor FM systems, ERP platforms, and reporting tools, ensuring data integrity, user access controls, and regular backups

• Generate daily, weekly, and monthly MIS reports with actionable insights for management and client stakeholders

• Collect, validate, and analyze business, financial, and vendor performance data ensuring accuracy and completeness

• Verify and authenticate vendor invoices based on regulatory standards, contract terms, and service delivery validation

• Coordinate with The Client at Powai Accounts Payable Team for timely invoice processing and payment within cut-off dates

• Receive and distribute compliance certificates and statutory documents to respective vendors as required

• Prepare dynamic dashboards and templates for tracking budgets, actual costs, service KPIs, and operational metrics

• Create cost sheets, support annual budget preparation with data-driven forecasts, and compile quarterly business review analysis

• Manage monthly financial reports, variance analysis, outsourcing summaries, and cash flow documentation for facilities manager

• Perform account reconciliation and maintain audit-ready documentation for statutory compliance and regulatory requirements

• Support audit preparations by organizing documentation and responding to internal and external audit requests

• Identify and implement automation opportunities through Power BI workflows, Excel macros, and digital reporting tools

• Provide training and technical support on Power BI, data management systems, and reporting platforms to team members

• Handle ad hoc analytical requests, scenario modeling, and deep-dive investigations as required by facility management

• Work in rotational shifts as needed to support 24/7 facility operations and reporting requirements

Qualifications: • Bachelor's degree in Commerce, Business Administration, Information Systems, Data Analytics, Accounting, Finance, or related field

• 2-4 years proven experience in data analysis, MIS, business intelligence, or facilities/finance reporting with demonstrated track record of creating impactful dashboards

• Advanced Microsoft Excel proficiency: pivot tables, advanced formulas (VLOOKUP, INDEX-MATCH, array formulas), What-If analysis, Power Query, and macros (MANDATORY)

• Power BI expertise: hands-on experience creating interactive dashboards, data modeling, and report deployment (MANDATORY)

• Strong analytical abilities in trend analysis, variance analysis, forecasting, statistical methods, and data mining (MANDATORY)

• Tableau experience for building visualizations and dashboards (Preferred)

• Experience with ERP systems, FM platforms, or computerized maintenance management systems (CMMS)

• SQL or database query skills for data extraction and manipulation (Preferred)

• Solid background in reporting procedures, account reconciliation, invoice validation, and financial documentation

• Excellent data management skills with focus on accuracy, validation, and audit compliance

• Highly organized managing multiple analytical projects and reporting deadlines simultaneously

• Excellent written and verbal communication skills presenting insights to technical and non-technical audiences

• Strong teamwork and collaboration abilities supporting cross-functional facility operations

• Meticulous attention to detail maintaining accurate records and error-free documentation

• Understanding of invoice processing, payment cycles, and vendor management workflows

• Proactive mindset to identify process improvements and drive automation initiatives

• Flexibility to adapt to changing priorities and work rotational shifts as required
