OBJECTIVES/PURPOSE:

  • The position will work closely with the Chief of Staff and act as an enabler for strategic initiatives and ensure execution of key priorities of Global Corporate Affairs (GCA).
  • The position will support managing and coordinating the key GCA strategic activities including, but not limited to;
    • Monthly reporting to Chief Global Corporate Affairs and Sustainability Officer (CGCA&SO)
    • Quarterly GCA meetings, twice a year extended GCA community calls and GCA leadership team meetings (3 times a year)
    • Planning and implementation of special projects and/or initiatives within GCA


ACCOUNTABILITIES:
We are seeking a highly motivated, results-oriented individual with strong project management and problem solving skills to support the Chief of Staff Office. This role will report to the Chief of Staff and entails working with an entrepreneurial, self-motivated mind-set. The candidate must be able to function independently, be flexible, and have strong commitment to excellence. This will involve attending calls and meetings with leadership, tracking action items and requests, and developing technical materials as needed for meetings and presentations, partnering with others internally and externally to resource various activities and ensuring appropriate follow up. We strive for a strong team environment, working in tandem with other GCA teams, as well as internal stakeholders within the enterprise, from finance and legal to corporate communications teams.
The Manager is a critical member of Chief of Staff's lean, agile and dynamic team. A successful candidate will be proactive and detail oriented with exceptional organizational, problem-solving, project management, and communication skills. This role will rely on strong skills in building collaborations, partnering with broad stakeholder groups, working across global projects and teams, clear communication (verbal and written), and strong time and cross functional leadership. A successful candidate will be required to develop strong relationships with a variety of stakeholders, internal and external partners, and effective interactions with senior audiences.
Responsibilities include:

  • Assist Chief of Staff in day to day responsibilities ensuring a smooth operation and coordination in GCA
  • Act as a point of contact for GCA members and other stakeholders, representing the Chief of Staff Office and directly supporting the Chief Global Corporate Affairs and Sustainability Officer
  • Work with GCA Leadership Team (GCALT) and each team members within GCA.
  • Lead and support GCA-wide strategic initiatives and employee engagement activities, including facilitation, troubleshooting stakeholder management and decision making
  • Support, or lead as required, preparing and facilitating the GCA Townhalls and Community calls.
  • Support executive presentation development and coordination
  • Prepare and update the annual calendar of GCA and extended comms/public affairs community
  • Support Chief of Staff with additional tasks as needed


EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS:

  • Broad understanding of Takeda organization with 5+ years of experience
  • Minimum of 5 years of business experience, ideally in a multicultural and global setting
  • Business level of Japanese and English language skills
  • Demonstrated ability to learn quickly with strong adaptability and curiosity
  • Strong work ethic, integrity, credibility, and dedication to Takeda's values and purpose
  • Ability to work in a self-guided manner and manage multiple priorities with demanding timelines
  • Strong interpersonal skills building successful relationships with key stakeholders internally and externally
  • Ability to operate in an ambiguous environment, with minimal supervision, strong personal drive and self-motivation
  • Strong project management skills to support driving cross group initiatives
  • Flexibility and a willingness to take on a variety of assignments
