Taboola is looking for a self-motivated, organized, and energetic Executive Assistant to join our EA Shared Services Team. Based in our Gurgaon office, this role will provide crucial support to our Senior Management team across the globe. As an Executive Assistant, you will act as the right hand to senior leaders, ensuring smooth operations, managing complex calendars, and taking on diverse responsibilities to help the leadership team focus on strategic goals. The position requires someone with high energy, excellent communication skills, superb attention to detail, and a proactive, can-do attitude.

What skills and qualifications do I need?

For this role, it is essential that you have:

  • Proven experience (3+ years) as an Executive Assistant, preferably in global companies.
  • Exceptional verbal and written communication skills in English.
  • Excellent organization and time management skills, with the ability to prioritize and multitask while managing a heavy workload.
  • Strong attention to detail, with a proven ability to follow through with high accuracy.
  • High flexibility in terms of availability—this team will be supporting executives across multiple locations and time zones, so flexibility to work late and early shifts is a must.
  • High energy and dynamic with the ability to adapt to changing priorities and environments.
  • Independent, proactive, and results-oriented with a “getting things done” mindset.
  • Exceptional interpersonal skills with a positive attitude and a team-player mentality.
  • Strong passion for service excellence, learning new skills, and communicating across divisions.
  • The ability to handle confidential information with discretion and professionalism.
  • Proficiency in Google Suite (Gmail, Google Calendar, Drive) and MS Office.

What will I do on a regular basis?

As an Executive Assistant, your key responsibilities will include:

  • Working closely with Senior Executives to handle a variety of professional tasks and responsibilities.
  • Acting as the main point of contact between executives, employees, external partners, and clients.
  • Ensuring smooth daily operations by coordinating logistics for executives, including managing their calendars, travel arrangements, and itineraries.
  • Resolving scheduling conflicts while ensuring alignment with organizational priorities and goals.
  • Managing and coordinating internal and external meetings, scheduling across multiple time zones, and ensuring a seamless experience by pre-testing setups.
  • Handling both personal and professional matters for executives with the highest level of confidentiality and timeliness.
  • Coordinating team meetings and events, both in-house and off-site.
  • Communicating fluidly via email and phone, handling correspondence in English.
  • Managing international and domestic travel arrangements, including flight itineraries, hotel bookings, and car services.
  • Supporting executives by managing complex scheduling and logistics for both business and personal commitments.
  • Proactively resolving potential issues before they arise to ensure the executives' time is optimized.
  • Demonstrating a proactive approach, making quick decisions, and adapting to change when necessary.
