Role purpose:

Manage the effective operations of travel related services in accordance with company policies, procedures, and processes. Contribute as a team member to the overall culture of Accelya locally and globally. Achievement of defined key performance indicators and service level agreement targets.
To provide support to Accelya employees, guests and clients by understanding their travel requirements, business priorities and demonstrating the ability to proactively anticipate needs and drive improvements. The role involves completing complex assigned goals quickly with little to no guidance, reacting with appropriate urgency to situations that require a quick turnaround, and taking effective actions. Proactively getting involved with all aspects of engagement meetings with vendors/sales representatives from Airlines, Hotel Industry etc.

Duties & Responsibilities

  • Arrange, manages and coordinates all aspects of Domestic & International Hotel & Travel bookings to meet the specific needs of employees, departments & guests.
  • Handling & advising employees on travel arrangements, e.g., visas and passports.
  • Rely on instructions, pre-established guidelines & budget to perform the functions of the job.
  • Managing the reconciliation of Travel related expenses as per the travel policy and process.
  • Provide customer service by responding to inquiries about Domestic or International travel. 
  • Assisting and understanding the special needs of employees & guests with disabilities.
  • Handling client/visitors/guest complaints/feedback and other related problems and communicating to next level or as per escalation matrix.
  • Timely execution of assigned tasks and projects.
  • Ensure that employees & guest safety and security protocols are followed as per the process and guidelines during their travel.
  • Accurate reporting to ensure meeting the organization goals.
  • Work as a team with admin team members within the department to ensure back-up coverage as and when required.
  • Participate in and assist with organizing of admin team initiatives – meetings, training, events & functions etc.

  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.

Technical Competencies

  • Knowledge of relevant flight regulations and required travel documentation.
  • Knowledge on managing /processing of Visa
  • Knowledge on managing/ processing of hotel accommodation (Domestic & International)
  • Knowledge on managing Tickets – Domestic & International (hands on experience on Amadeus and Galileo would be an advantage)
