General Administration comprises general office administration & secretarial support roles, such as: dedicated secretarial/administrative assistant support (i.e. to senior leaders); general office administration and clerical support (i.e. to teams or functions); reception/telephone/switchboard; mailroom & filing support. May be accountable for office event planning and/or supporting Facilities Management with office space planning.

Administrative stream includes those who primarily support others by performing skilled technical, administrative or operational tasks. Jobs may range from highly supervised entry-level workers, technicians, and administrative staff to experienced individual contributors with robust technical or practical knowledge in specific areas, who have an ability to execute specialized work to support operations.
A colleague at this level works on tasks of limited scope and complexity, exercises independent judgment within defined boundaries and guidelines and typically under supervision. The colleague has skills developed through job-related training and on-the-job experience within a specific job discipline.

Roles and Responsibilities

Contract Update:

  • Maintain contract excel sheet and update 
  • Updating contract folder 
  • Renewal of contract and addendum

Vendor Management

  • Following up with vendor for final quote for respective area
  • Creation of PO for vendor
  • Onboarding of Vendor

Visa Documents

  • Covering letter
  • Invitation Letter
  • Looking after the Red Carpet Agreement renewal on timely basis

Sim connection Vodafone and Airtel

  • New sim connection for employee
  • I-roam activation
  • Deactivate Sim
  • Port out request
  • COCP to IOIP OR COCP TO COCP request
  • Simple 2 call - Satellite calling

Accommodation for New Joiner

  • Booking Hotel

Exit NDC

  • Collect ID and access card /Pedestal keys / Sim / RFID
  • Give Admin clearance to employee
  • Maintain Tracker of Issuance and Surrender of Admin Assets
  • Deactivate access card

Guest Mgmt.

  • Speaking with Travel Team, Procurement Team, Hotel, etc. for managing the guest itinerary

Floor Decoration / Family Day / Annual Day

  • Ensuring all recurring events are well planned and executed and cost is always kept in mind while dealing with the same

License

  • Managing and Timely renewal of All License related to Shop and Establishment , cafeteria and CLRa

Experience requirement:

  • 6-9 years’ exp in administration role
  • Candidate should be well versed with the MS office function and able to create insightful reports using excel, ppt.
  • Incumbent should possess good English and interpersonal skills, shall be able to communicate with overseas EA's , Visa Personal, etc.
  • Preferred candidate should be fluent in English, Hindi and Marathi
