Accountabilities/Responsibilities

• Schedule and coordinate interviews across multiple teams, locations, and time zones (phone, virtual, and on-site)
• Communicate interview details and logistics to candidates and internal stakeholders clearly and professionally
• Update and maintain candidate records in the Applicant Tracking System (ATS)
• Work closely with recruiters, hiring managers, and executive assistants to ensure accurate and timely interview coordination
• Anticipate scheduling conflicts and proactively suggest solutions or adjustments
• Send calendar invites and confirmations, and follow up on interviewer feedback
• Support ad hoc administrative tasks related to recruitment operations as needed

Knowledge & Skills:

• Confidence & excellent communication

• Previous experience in an administrative, coordination, or recruiting support role
• Excellent organizational and time-management skills
• Strong written and verbal communication abilities
• Comfortable managing high volumes of scheduling with a keen attention to detail
• Familiarity with calendar tools (e.g., Google Calendar, Outlook) and ATS platforms (e.g. Workday)
• Ability to thrive in a fast-paced and dynamic environment
• Discretion in handling confidential information

Experience:

• Experience coordinating interviews across global teams or multiple time zones
• Background in HR, recruitment, or talent operations
• Proficiency with scheduling tools or platforms (e.g., Workday)

Educational Qualification:

• Bachelor’s degree in Human Resources, Business, or related field (or equivalent experience)
