ABOUT THE ROLE
We are looking for a motivated and detail-oriented Project Support Specialist to join our team. This role is well suited for someone who enjoys working with numbers, structured information, documentation, and financial data, and already has some professional experience in project support, administration, finance, operations, or a similar environment. A high level of accuracy and attention to detail is essential, as you will be responsible for supporting project administration, reporting, calculations, documentation, financial tracking, and day-to-day coordination.
You will work in an international IT environment, collaborating with different stakeholders and supporting projects from both an operational and financial perspective. Depending on your experience, you will have the opportunity to take ownership of specific project support activities and gradually expand your responsibilities.
German language skills would be considered an advantage.
RESPONSIBILITIES
Manage and support day-to-day project administration and coordination activities.
Perform calculations, financial tracking, data validation, and project-related reporting.
Maintain Excel spreadsheets and ensure project and financial information is accurate, complete, and up to date.
Handle accounting-related and financial administration tasks, including reviewing figures, costs, invoices, and other project-related financial information.
Prepare and maintain project documentation, including project plans, meeting notes, status reports, and supporting documents.
Maintain task lists, timelines, and project tracking tools, including MS Project.
Prepare reports, dashboards, presentations, and client-facing materials.
Coordinate meetings, schedule calls, follow up on agreed actions, and support ongoing project activities.
Ensure relevant project information, documentation, and resources are properly maintained and shared with stakeholders.
Support the procurement and administration of tools, licenses, and other project resources.
Identify inconsistencies or missing information and proactively follow up with relevant stakeholders.
Collaborate with different teams and contribute to smooth communication and coordination across projects.
REQUIREMENTS
Relevant experience in project support, project coordination, administration, finance, operations, accounting, or a similar role.
Strong attention to detail and accuracy, particularly when working with numbers, financial information, and documentation.
Good numerical skills and confidence working with calculations, costs, and financial data.
Basic understanding of accounting principles and financial processes.
Good organizational and time-management skills, with the ability to manage multiple tasks and priorities.
Strong analytical thinking and the ability to identify inconsistencies or errors in data.
Good verbal and written communication skills.
Good working knowledge of Microsoft Excel and proficiency in Microsoft Office (Word, PowerPoint).
Ability to work independently on assigned responsibilities while collaborating effectively with the wider project team.
Proactive attitude, willingness to take ownership, and motivation to develop professionally.
Basic understanding of IT concepts, software development, systems, or tools would be considered an advantage.
Previous experience with MS Project or other project management/tracking tools would be considered an advantage.
German language skills would be considered an advantage.
