Job Description:
As a Project Coordinator supporting a complex CFIN program with multiple workstreams and additional channels dedicated to communications and change management, you will play a pivotal role in ensuring the smooth execution and delivery of program objectives. Working in close partnership with the Project Managers, your responsibilities will span documentation, tracking, reporting, and the stewardship of program artifacts and resources. This role requires a proactive, detail-oriented professional who thrives in a dynamic, multi-faceted environment and can excel both independently and as a collaborative partner.
Key Responsibilities
- Program Coordination & Support: Collaborate with program leadership and project managers to align priorities, support workstream coordination, and facilitate communication across teams.
- Task Tracking & Documentation: Maintain and track project tasks, milestones, and dependencies while ensuring accurate documentation and timely updates using program management tools.
- Status Reporting: Prepare regular status reports by consolidating inputs from workstreams, highlighting progress, risks, and upcoming priorities.
- Program Artifacts Management: Maintain and update core program materials (presentations, dashboards, reports), ensuring accuracy, version control, and readiness for executive use.
- Documentation Management: Build and manage a centralized documentation library with organized, accessible, and standardized materials.
- Independent Execution: Work proactively with minimal supervision, effectively managing workload while maintaining professionalism and confidentiality.
- Cross-Functional & Administrative Support: Provide coordination across teams, support meetings, track action items, and ensure follow-ups are completed.
Required Skills & Qualifications
- 2+ years’ experience in project coordination.
- Familiarity with enterprise-level program delivery and multi-workstream management.
- Proficiency with Microsoft Office Suite, particularly PowerPoint.
- Strong organizational and documentation skills, with keen attention to detail and accuracy.
- Ability to work independently, prioritize competing tasks, and manage time effectively in a fast-paced environment.
- Excellent written and verbal communication skills, with experience preparing reports and presentations for diverse audiences.
- Demonstrated problem-solving abilities and resourcefulness in managing multiple stakeholders and tasks.
Minimum requirements:
- At least 2-3 years project management experience
- Experience building PPT slides for program resources (documenting concepts in pictorial for to use in team conversations/alignment) as well as drafts for weekly senior leadership status updates
- Experience working with multi-functional, multi-location teams (US, Asia, EU)
- Experience with JIRA, Confluence collaboration tools preferred
- Experience in managing program/project risks/issues/actions/decisions logs; task management; document management

- Consistent, high-quality documentation and reporting that supports program transparency and decision-making.
- Effective tracking and timely completion of tasks and milestones across workstreams.
- Well-maintained program documentation library enabling efficient access and knowledge transfer.
- Positive feedback from the VP Program Management, Project Managers and workstream leads regarding support and collaboration.
