The role serves as a key resource for internal teams to ensure seamless client onboarding, custodial processing, account maintenance, and data integrity across portfolio systems. This role combines client service excellence with operational data management to support accurate, compliant, and timely delivery of client information through collaboration with internal teams.

Key Responsibilities

  • Coordinate and oversee day-to-day workload management for team of 2 – 3 staff; assign responsibilities based on staff availability.

  • Provide feedback (written and verbal) and performance reviews for staff.

  • Collaborate with other Operations supervisors and Managers to ensure cohesive department strategy.

  • Facilitate client onboarding, including custodial applications, data feed setup, and transfer requests.

  • Maintain and audit client portfolio structures and transactions within custodial and portfolio accounting systems.

  • Ensure all client documentation and procedures meet compliance standards.

  • Communicate regularly with internal stakeholders to resolve issues.

  • Monitor and reconcile daily transactions, alerts, and data discrepancies.

  • Respond to internal requests for data, reports, and account information.

  • Support ongoing projects and tasks related to client operations and data accuracy.

Education

  • Bachelors degree in Accounting, Finance or equivalent

Experience/Qualifications

  • 5+ years’ industry experience. Previous supervisory, investment industry and administrative experience preferred.

  • Ability to work in a fast paced environment.

  • Strong communication skills required, both written and verbal.

  • An understanding of securities and investments

  • Interest and aptitude for financial planning

  • Strong computer skills

  • High attention to detail

  • Professional and approachable demeanor
