Mission
In this role, your mission is to amplify the impact of our leadership by managing calendars, internal operations, and cross-functional initiatives. You’ll ensure our executive team operates with alignment, efficiency, and a sense of flow—while also owning internal projects that no one else has time to drive.
Key responsibilities/Outcomes:
- Upon request: coordinate schedules and meetings for the executive team members, assist in traveling
- Manage company-wide initiatives: Monthly All-Hands meetings, Quarterly Smartcat Awards, employee gifts
- Organize and own logistics for Quarterly Executive offsites and other C-level events and meetings
- Assist team members with administrative requests (e.g. legal documents delivery, help with visa applications, etc)
- Serve as a point of contact for employee ops-related questions and onboarding
- Manage internal documentation and Notion pages used across the company
- Assist in ad-hoc projects as requested by the Executive team members
HOW YOU’LL RAMP:
By Day 30
- Build rapport with executive team members through 1:1s
- Shadow existing processes for executive support and related projects
- Immerse yourself in internal tools (G-suite) and systems (Slack, Notion, Miro, etc.)
Day 60
- Create and maintain a quarterly planning calendar for major internal events/ milestones
- Take over coordination of recurring weekly/monthly events
Day 90
- Plan and organize at least one Quarterly Executive offsite
- Proactively identify and begin addressing gaps in executive support
- Own 1-2 ad hoc projects
Requirements:
- Fluency in English, both written and verbal
- 1-2 years of previous experience in executive or operational support roles
- Excellent coordination, organization, and multitasking skills
- Experience running internal meetings, projects, and/or logistics independently
- Ability to work well across teams and follow through consistently
- Proactive attitude, self-driven and able to work independently to achieve results
- Someone passionate about the company’s mission and eager to contribute
- Proficiency in G-suite tools and Notion are a big plus
