Role Overview
We are seeking a highly organized, proactive Executive Assistant based in India to support our C-Level Executive Leadership Team. This is a remote role designed for someone who is comfortable working US business hours and providing real-time support to executives operating primarily in the US.
The Executive Assistant will work closely with the Chief of Staff to ensure alignment on executive priorities, operating cadence, and time optimization across the leadership team. This is a highly collaborative relationship, operating as a team to ensure executives are focused on the highest-value activities and that their time is used effectively.
This role offers a unique opportunity to gain visibility into how a global SaaS organization operates at the executive level. It is a high-trust, high-impact position with exposure to senior leadership and insight into strategic decision-making and business operations.
Key Responsibilities
Executive Calendar & Time Management (Primary Focus)
- Support and manage complex C-level executive calendars across multiple time zones in partnership with the Chief of Staff.
- Operate during US business hours to provide real-time calendar support, meeting coordination, and issue resolution.
- Help prioritize and optimize executive time in alignment with business priorities under the guidance of the Chief of Staff.
- Proactively manage scheduling conflicts, trade-offs, shifting priorities, and last-minute changes.
- Coordinate internal and external meetings, including executive leadership meetings, high-level candidates, customers, partners, vendors, and other stakeholders.
- Partner effectively with executives and stakeholders across multiple time zones.
- Prepare meeting logistics and assist with collecting materials for executive and customer meetings as needed.
Travel, Offsite & Event Logistics
- Coordinate domestic and international executive travel in partnership with the Chief of Staff and executives, ensuring calendars and itineraries are accurately updated across time zones.
- Support logistics for India-based executive visits, US-based executive meetings, customer roadshows, dinners, and company events as needed.
- Manage executive travel itineraries, including flights, hotels, ground transportation, meeting schedules, and logistics notes.
- Coordinate workplace and event logistics, including meeting rooms, workspace needs, visitor access, catering, reservations, and transportation, in partnership with the Chief of Staff,
- Provide strong remote coordination and follow-through across global teams and locations.
Administrative & Operational Support
- Assist with expense reports and administrative processes.
- Maintain organized records, documentation, executive contact lists, travel details, and recurring meeting information.
- Provide ad hoc administrative support across the Executive Leadership Team.
Communication & Coordination
- Serve as a professional liaison between executives and internal or external stakeholders.
- Ensure timely follow-ups and coordination across stakeholders, especially across US and India time zones.
- Communicate clearly and professionally in writing and verbally, with strong attention to tone, detail, and confidentiality.
- Escalate scheduling conflicts, urgent requests, or trade-offs appropriately and proactively.
Additional Notes
- Support special projects and ad hoc requests as needed.
- Flex across priorities as business needs evolve.
- Partner closely with the Chief of Staff to create leverage for the executive team.
- Leverage AI tools to draft routine emails, meeting follow-ups, status updates, and internal communications, improving efficiency while maintaining accuracy and professionalism.
Qualifications
- India-based candidate; remote role with reliable ability to work US business hours.
- 3–7+ years of experience supporting senior leaders; prior experience supporting C-level executives preferred.
- Experience managing complex calendars across global time zones, especially US and India.
- Exceptional organizational, prioritization, and time management skills.
- Strong written and verbal communication skills in English.
- High level of discretion, professionalism, judgment, and confidentiality.
- Ability to operate in a fast-paced, dynamic, and global environment.
- Experience supporting global teams, executive travel, events, or offsites preferred.
- Comfortable using modern workplace tools such as Microsoft Outlook, Teams, Word, Excel, PowerPoint and collaboration tools.
