General Summary
Under limited supervision provide confidential secretarial and administrative support to the CEO, organise client meetings and events, and executive level project support.
Key Responsibility
- Communications: Handle high-level or confidential correspondence such as letters, emails, invitations, etc., as directed ensuring accurate and precise communication at all times. Prepare letters, reports, presentations and other documents as required for internal as well as external (client) matters.
- Meeting Scheduling & Travel Logistics: Manage and schedule internal meetings, including room bookings and logistics. Make local and international travel arrangements and oversee travel itineraries. Ensure calendars are updated at all times.
- Client Meetings: Assist with client meetings by planning and carrying out all necessary logistics and details. Liaise with external and internal contacts on behalf of Executive. Maintain directory of contacts for the Executive.
- Event Coordination: Assist, plan and coordinate events as required including management offsites and other senior management gatherings.
- Project Support: Provide administrative support to confidential and senior projects by scheduling meetings, preparing the agenda, taking minutes, tracking actions and other meeting logistics. Follow up and ensure delegated projects and requests are completed on schedule on behalf of the CEO and Executive.
- Executive Support: Collate, reconcile and submit expense claims into Peoplesoft. Proactively follow up with other departments on information needed by the CEO and Executive. Anticipate needs, perform routine and non-routine tasks, and provide other support duties as requested.
Education and Experience
- Bachelor’s degree with 5–7 years of experience in executive support, project administration, or operations roles.
- Experience working in fast-paced corporate environments with senior stakeholders.
- Experience in Insurance/Reinsurance is preferred
- Strong written and verbal communication skills

- Extensive knowledge of international travel arrangements required
- Excellent Calendar management required
- Superior level of professionalism, discretion and dependability required
- Ability to co-ordinate many high-priority deadlines simultaneously required
- Excellent administrative skills with a strong focus on attention to detail required
- Strong time management and organizational ability required
- Excellent communication skills, both written and verbal, including English required
- Be flexible to work outside regular business hours and weekends (including checking emails on holidays/weekends) required
- Ability to use own initiative and work independently as well as within a team. Highly motivated, proactive and enthusiastic preferred
- Demonstrate flexibility and desire to identify solutions. Ability to prioritize make routine decisions independently preferred
- Provide exceptional customer service. Strong interpersonal relationship capabilities preferred
- Excellent computer skills preferred
- Flexibility to work during extended hours and during weekends/public holidays during peak business periods
