The Client Billing Executive collects and verifies documentation for client invoices, prepares and sends invoices, identifies billing discrepancies, processes adjustments, reconciles jobs, and assists in audits and month-end reporting.
POSITION SUMMARY:
The Executive is responsible for performing non-media related client billing and processing activities, which services a number of advertising agencies.
ESSENTIAL FUNCTIONS:
- Gather & verify supporting documentation for invoices.
- Prepare client invoices (including Intercompany)
- Scan or mail original invoices to clients
- File and archive original invoices and supporting documentation.
- Identify over/under billing.
- Process adjustments (i.e., credit/debit memo)
- Perform Cost transfer / write off / revenue upload in accounting system.
- Perform Job Reconciliation & Closure
- Run WIP report monthly & circulate the report to agencies, follow up for old WIP closure.
- Resolve Job and invoice related queries.
- Assist agencies with month-end reporting process.
- Assist in internal and external audits.
EDUCATION, SKILLS AND EXPERIENCE REQUIREMENTS:
- Minimum Education Qualification – Graduation
- 1 - 3 years of work experience in a similar role
- Experience in Advertising industry preferred.
- Ability to provide high quality level of customer service for the client billing activities.
- Strong written and oral communications skills in English
- Strong problem solving and organizational skills.
- Good knowledge of concepts and procedures related to client billing process.
- Ability to work independently, efficiently and deliver high quality output under time pressure.
- Ability to complete allocated tasks on time and accurately.
- Excellent computer skills and competency in Microsoft Office (Word, PowerPoint, Excel, Outlook)
- Experience in SAP and Tally systems
A distinct advantage:
- Experience working in a Shared Services Centre focused on Finance & Accounting activities.
- Experience in document imaging software like Sharepoint.
